Getting Started with Botkeeper
Welcome to Botkeeper! Our mission is to empower your firm to unlock new levels of scale and growth through the Botkeeper Platform. We know that getting started with a new platform can seem overwhelming, but not with Botkeeper. We're going to be with you every step of the way.

We've put together an essential list for onboarding and deploying your clients onto the Botkeeper platform
STEP 1: KICKOFF TEAM INTRODUCTION
Time Commitment: 30-45 minutes
Botkeeper Lifecycle: Within one week of contract signing
During the Introductory call, you will:
- Get acquainted with your Kickoff Manager
- Login to the Partner Portal and scope your first client
- Schedule the training call for your firm (see step 4)
- Review next steps & action items prior to training call
PRO TIP:Attention to detail and upfront investment in the onboarding process
will pay huge dividends in the future. |
STEP 2: SCOPE YOUR CLIENTS
Time Commitment: 10-15 minutes per client (on average)
Botkeeper Lifecycle: Within 1 week of Kickoff call (see step 1)
The Botkeeper Scoping Tool can be found on the homepage of your Partner Portal. Scoping your clients is how you provide Botkeeper with the relevant client entity information needed to start deployment.

PRO TIP:Selections made in the Botkeeper Scoping Tool directly inform the service that will be provided, and the onboarding tasks that will be created for your team. Pay close attention to your selections. If you have questions, reach out to your Growth Partner.

STEP 3: PROVIDE CLOUD GENERAL LEDGER ACCESS
Botkeeper will need access to your clients' online general ledger in order to begin services! Below are your options:

We have multiple options for connecting with your QBO companies. Your Kickoff Manager will consult with your firm on what the best choice is for both your current setup and future growth needs. These options include:
QBOA Team Access - Existing Firm Invite- Invite Botkeeper Access users via Team invite into your existing QBOA. Share QBO company access as entities are scoped/deployed.
QBOA Team Access - New Shared Firm Invite- Create a new QBOA to house your botkept clients, including Botkeeper Access and your firm team members.
QBO Accounting Firm Invite- Invite Botkeeper access users as separate Accounting Firm users directly in the client QBO companies.

STEP 4: KICKOFF & TRAINING CALL
Time Commitment: 1 hour
Botkeeper Lifecycle: One week prior to contract start date

Hosted by your Kickoff Manager, this call will cover Botkeeper fundamentals, tools for streamlining processes, and everything else you need to get started.
During the Kickoff call, you will:
- Discuss the structure of the Botkeeper Success team
- Receive an overview of the onboarding and implementation processes & timeline
- Review basic and advanced service offerings
- Receive a Platform and best practices training
PRO TIP:Include all staff members who will be utilizing Botkeeper on the call.

STEP 5: ATTEND YOUR FIRST PARTNER SUCCESS CALL
Time Commitment: Begins at 30 minutes weekly, cadence adjusted after the first month

The final step in the onboarding process is your first Partner Success Call. The purpose of this call is to:

- Walk you through the Master Botkeeper Standard Operating Procedures, which detail all of the standardized processes and procedures governing ongoing service delivery at Botkeeper
- Ensure the first 5 scoped clients are deployed and open tasks to ensure firm goals are achieved timely
- Graduate from Kickoff, introduction, and transition to your ongoing Growth Partner
PRO TIP:Success calls are designed to ensure YOUR success with Botkeeper. Use this opportunity to stay aligned on firm goals and collaborate with Botkeeper on your clients.
