What is Firm Insights?
The Firm Insights module is the Botkeeper homepage. It surfaces vital information about platform use, clients, financial accounts, and users.
The Firm Insights homepage is a newly designed command center for firm users, that provides real-time visibility into firm-wide performance in Botkeeper, including team workload distribution, automation effectiveness, and platform utilization. Instead of manually compiling reports across multiple clients, firm managers and team leaders can instantly access the insights they need to optimize operations, allocate resources effectively, and maximize automation benefits.
NOTE: The results displayed in the top section (shown below) will only be for clients to which you have access. To get information by client, first select the desired client in the left navigation, then visit Firm Insights.
Firm Insight provides:

Platform Utilization – A real-time snapshot of how much work is automated vs. manual. This helps firms understand where they are maximizing efficiency and where there are opportunities to automate more, reducing manual workload and improving overall productivity.

Areas of Automation – A breakdown of what’s running smoothly and where intervention is needed. This highlights disconnects, workflow disruptions, or underutilized automation features, helping firms troubleshoot issues before they impact operations.

- Need to prioritize your work? Customize the columns of your Clients tab to see what needs your attention across your client roster, and attack it in the order that makes the most sense to you.
- Looking for ways to improve Botkeeper performance? Check the Automation indicator to make sure you're maximizing automation; anywhere you aren't at 100% represents an opportunity to get more done faster.
- Looking to improve your own performance? Check the Productivity area to see how many open tasks you have to handle.
For firm managers or principals with visibility into ALL clients:
- Want to see how monthly closings are proceeding? Get a bead both in the moment and historically.
- Some staff seem overworked? Understand workload at a glance to easily shuffle tasks or projects to keep things balanced.
- Want to stay ahead of client issues? Get an overview of statuses in the Client Summary, and quickly run down any disconnected accounts in the Financial Accounts tab.
Working With Firm Insights
Firm Insights is the default page for Botkeeper users. From here, you can visit anywhere else in the platform using the left navigation. Below is a sample of the page.
These dashboard-like widgets seen above aggregate data across all the clients you currently have access to in the Botkeeper platform. Scrolling down, you encounter three tabs: Clients, Financial Accounts, and Team Productivity. The information for each can be customized by clicking on the Columns text in the upper left of the tab. Let's look at Clients first:
The Clients tab presents helpful, at-a-glance information across all clients you have access to in Botkeeper. The available information includes:
- Client name
- Status-
- Package
- Client POC (point of contact)
- Time Saved in hours (definition below)
- % Automated (definition below)
- Total Accounts
- Connected / Eligible
- Statement Fetching / Eligible
- Statements Fetched
- ManualPush Accounts
- AutoPush Accounts
- Automated Transactions
- Pending Review Transactions
- Incomplete Reconciliations
- Completed Reconciliations
- % Tasks Completed On Time
- Overdue Tasks
- In-Progress Tasks
- To Do Tasks
- % Months Closed On Time
- Months Open
- Months Overdue Open
- Months Closed
- Months Closed Overdue
- Total Months Closed
How time saved is calculated:
- 45 seconds per transaction automated
- 30 seconds per exception found
- 6 minutes per statement fetched
How % Automated is calculated:
This value is calculated based on the utilization of the platform per account, divided by the potential of automation for that account. For example, if Finicity supports an account, it can be connected and does statement fetching, its potential for automation would be 100%. If you connected that account, had ManualPush on, and turned on statement fetching, the automation for that account would be 75%. It could get to 100% if AutoPush were on.
Next is the Financial Accounts tab, seen below:
The Financial Accounts tab helps you quickly see the following information:
- Client Name
- Account Name
- Connection Status
- Automation - Off, ManualPush or AutoPush
- Statement Fetching
- % Automated (same definition as above)
You can use this to identify and resolve issues quickly, as well as see whether you're making full use of Botkeeper's automation. Finally, you'll see the Team Productivity tab:
The available information here includes:
- Users Name
- Number of Clients they are the Point of Contact (POC) for
- Overdue Tasks
- Open Tasks
- Completed Tasks
- % Tasks Completed on Time
- % Months Closed on Time
- Average Automation - average % automation across the clients that they own
- Time Saved in hours
This information helps you improve efficiency, surface workload, assign or reassign clients or tasks, and understand how smoothly work is progressing through the firm.
