      What are the differences among the available Botkeeper packages and their pricing?

      Botkeeper currently offers two packages. We also maintain a third package for legacy partners.

      The two currently available packages: (or jump to pricing).

      • Botkeeper Infinite:
        This is our most comprehensive package, and includes all our available modules and functionality.
      • Botkeeper Infinite Lite:
        This package removes our machine learning and automated transaction categorization, leaving a streamlined workflow solution that replaces multiple standalone software packages, bringing their functions into one convenient place.

      A third option, Botkeeper Infinite+, adds human assistance from our professional accounting team. This package is maintained for our legacy partners. 

      The matrix below shows what functionality is included in each package, as well as which modules of the Botkeeper platform are available in each.

      • Expense Volume
      • Bookkeeping Frequency
      Below is the pricing table. Note, the prices shown are per month, per entity:
      • A SMALL entity has ongoing monthly expenses of less than $200k.
      • A LARGE entity has ongoing monthly expenses between $200k and $1M.
      • Entities with over $1M in ongoing monthly expenses are subject to custom pricing.

      1. What is Service Level?

      The next area to review is if this client will need additional assistance from our accounting team to help manage their monthly bookkeeping.  We offer three different service levels, as shown below:

      • Infinite includes the following:
        • The Botkeeper Infinite software platform.
        • No service offerings are included in this package and all services for your client will be managed by your firm. Our platform and tool overview can be found HERE
      • Infinite + Basic includes the Botkeeper Infinite software platform, plus the following service offerings that our accounting team assists with to aid in the management of your client’s monthly bookkeeping:
        • Transaction Categorizations 
        • Basic Payroll Categorization
        • Simple Month End Journal Entries
        • Basic Schedule Maintenance with Monthly Journal Entry
        • Bank and Credit Card Reconciliations
        • Income Statement, Balance Sheet, & Statement of Cash Flow
        • Overall book review for unusual balances or discrepancies
      • Infinite + Advanced includes everything from the Infinite + Basic package plus the following service offerings that our accounting team assists with to aid in the management of your client’s monthly bookkeeping:
        • Advanced Payroll Categorization
        • Autonomous AP Processing
        • Applying Payments to AR Invoices
        • CC Merchant & POS Reconciliation
        • Inventory Reconciliation
        • Enhanced Ongoing Report Support
        • Monthly Standard Invoicing
        • QBO W-9 Requests
        • Tracking:
          • Class & Department
          • Job / Project

          2. Determining entity size

          The first area to sort out will be your client entity size.

          • Small - Entities with ongoing monthly expenses of less than $200,000
          • Large - Entities with ongoing monthly expenses of $200,000 or greater
          • Custom- Entities with ongoing monthly expenses exceeding $1,000,000

          *TIP: To calculate your client’s entity size take the following steps:

          Calculate the 12 month average of your client entity's expenses. The monthly expense amount includes the cost of goods sold, but w-2 employee payroll (salary, benefits, taxes, etc.) should be excluded. 

          • Subcontractors paid via the accounts payable system are not considered payroll for the purposes of this calculation.
          • Depreciation expenses, whether annual or monthly, should be included in your monthly expense calculation. 
            • It may not initially appear that Botkeeper will manage these transactions, but it does via the acquisition expenses, improvement(s) expenses, and/or with the sale of the asset(s) as they respectively occur

          Will a change in an entity size impact my monthly subscription price?

          Yes, your client entity size will change your subscription price. Client entity sizes are reviewed on a calendared, quarterly basis. If your client entity has a large, material change, we will inform you that your billing may be adjusted on a future invoice to account for the entity in question.

          3. Determining Bookkeeping Frequency

          If you've decided to leverage our additional bookkeeping services, the last area to consider is the bookkeeping frequency. We offer two frequencies to choose from:

          • Weekly* - your clients books will be managed on a weekly basis; this is the included frequency.
          • Daily - for clients with a more urgent need, you can upgrade to this frequency for your clients’ books to be managed on a daily basis; this option will incur an additional fee.

          Please note, bookkeeping frequency is ONLY applicable to clients you want Botkeeper to perform services for.
