What is required to ensure Botkeeper performs a timely close?

 

Required Information - First & Ongoing Month End

To ensure a timely ongoing close the following will be required of all entities  

 

*Note, a potential closing delay up to 1 business day for each business day the required information is overdue.

  • General Ledger (GL) - we have been provided access 

    • QBO - We have been added  as a team member to your Firm’s existing QBOA*

    • Xero -  We have been added  as an Advisor with manager user rights in each client’s GL
  • Bank & Credit Card accounts are set up in one of the following ways
    • Smart Connect (Autopush) for all eligible accounts (or general ledger bank feed (Non-Autopush) for Smart Connect ineligible accounts); or
      • If account(s) cannot be connected to Smart Connect or general ledger bank feed, transactions provided in an uploaded format**
  • We have been provided access to bank & credit card statements via one of the following***:
    • Smart Connect tool within the portal
    • Manual upload to the portal
    • Access to statement fetching service (Hubdoc, QBO) granted
    • Provide us with their own (non-shared), read-only credentials****
  • We have been provided access to all 3rd party applications required for us to complete the service offerings outlined in the Scope of Service via Password Manager
  • All tasks assigned to the firm or client in the portal are completed and nothing is outstanding
  • Partner is responsible for completing all work impacting the month-end financial reports prior to the respective information cut-off date

**Weekly entries only - Daily entities do not qualify for this item and transaction detail availability may result in extended close times

***Bank statement availability at month end may result in an extended close times
